Who we are
Clarke's Canine Crew provides dog walking, boarding, drop-in, and house-sitting services in Vancouver, British Columbia. We are responsible for the personal information under our control and have designated the Clarke's Canine Crew Privacy Officer to oversee our privacy practices.

Information we collect
- Enquiry and contact information:your name, phone number, email address, street address, your dog's name, requested service, and anything else you choose to tell us by form, email, phone, or social media.
- Client and service information: if you become a client, information reasonably needed to arrange and provide care, communicate with you, keep your dog and our team safe, maintain service records, and handle billing. This can include access instructions, emergency contacts, schedules, and care or behavioural information about your dog.
- Website technical information: our hosting and security providers may automatically process an IP address, browser and device type, requested pages, dates and times, referring page, and diagnostic or security events when the site is accessed.
- Content and feedback: reviews, messages, photos, or other content you provide or authorize us to use. Public Google and Instagram content may also appear on the site.
We do not collect payment-card information through this website.
Why we use information
- To respond to enquiries and arrange meet and greets.
- To assess availability and whether a requested service is suitable.
- To provide and administer dog-care services and communicate service updates.
- To maintain safety, prevent fraud or misuse, troubleshoot, and secure the website.
- To keep required business, tax, insurance, and legal records.
- To display reviews or photos where we have permission or the content is public.
- To comply with law and establish, exercise, or defend legal claims.
We collect, use, and disclose personal information with consent or as otherwise permitted by applicable law. We do not sell personal information and do not use enquiry information for email marketing unless we separately ask for consent.
When we share information
We limit disclosure to what is reasonably necessary for the purpose. Recipients include:
- Resend: the meet-and-greet form sends its contents through Resend to our bookings inbox. Resend processes the recipient and reply-to addresses, message content, and delivery metadata. Read the Resend Privacy Policy.
- Website infrastructure providers: hosting, content delivery, security, and technical support providers that operate or protect the site.
- Service support: team members, contractors, and professional advisers who need information to provide services or support the business and are expected to protect it.
- Legal and safety disclosures: government, regulatory, law-enforcement, insurance, or other parties where disclosure is required or permitted by law, or reasonably necessary to protect people, dogs, our business, or others.
- Business transactions: a prospective or completed purchaser or successor, subject to appropriate confidentiality and legal requirements.
Website services and third parties
- Trustindex: customer-review content is loaded only after you allow optional external content. Trustindex may then receive technical information and use cookies or similar technologies under its Privacy Policy.
- CARTO and OpenStreetMap: the service-area map requests map tiles from CARTO. CARTO may receive technical request information such as your IP address and browser headers. OpenStreetMap contributors are credited as the source of map data.
- Google Business Profile:the site displays public review information, such as a reviewer's display name, profile photo, rating, comment, and date, obtained by our server from Google. Google's practices are described in the Google Privacy Policy.
- Instagram and social links: our server retrieves public content from our Instagram account. If you follow a link to Instagram or another external site, that service receives information directly from your browser and applies its own policy.

Storage outside Canada
Some providers, including Resend and providers supporting website, map, review, and social content, may process or store information outside British Columbia or Canada. Information in another country may be accessible to courts, law enforcement, or national-security authorities under that country's laws. Contact our Privacy Officer for more information about service providers and processing locations.
Retention
We retain personal information only as long as reasonably necessary for the purposes described above and for legal or business requirements. We normally delete an enquiry that does not become a client relationship within two years after the last communication. If information is used to make a decision that directly affects you, we retain it for at least one year after that decision as required by British Columbia law.
Client, transaction, and service records may be kept longer where needed for ongoing care, safety, tax, insurance, limitation-period, or other legal requirements. When information is no longer needed, we delete, anonymize, or securely dispose of it. Providers may retain backup, security, and delivery records under their own documented schedules.
Safeguards
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These include limiting access, using secure connections, protecting service credentials, and using reputable service providers. No internet or storage system is completely secure, so we cannot guarantee absolute security.
Your choices and rights
Subject to limited exceptions in applicable law, you may ask to access personal information we hold about you, request correction of inaccurate or incomplete information, or withdraw consent to future collection, use, or disclosure. Withdrawal does not affect prior lawful handling and may limit our ability to provide a requested service.
Send a written request to our Privacy Officer using the contact details above. We may need to verify your identity and will respond within the period required by law. If we cannot fulfil a request, we will explain why, subject to legal restrictions.
Children's privacy
Our services are intended to be arranged by adults. We do not knowingly collect personal information directly from children under 13 through this website. A parent or guardian can contact us if they believe a child has provided personal information.

Changes to this policy
We may update this policy when our practices, providers, or legal obligations change. We will post the revised version here and change the last-updated date. We will provide additional notice or seek new consent where required for a significant change.
